COD position is approved (not open yet)
meeting with scandinova: need to chose orientation of klystron wrt waveguides. Need drawings.
with M.Dubrulle orientation defined. should be fine with or without a laser cabin close to the gun in the modulator hall.
Start to place items in tunnel to know where to place items in the hall. 3D scan is available, but cold installation in the beginning of the linac.

FE: meeting with TB about space for laser and feeding laser in the vacuum chamber and first screen after the gun.
Info for YG: better to have laser in modulator hall. In a small cabinet (1.8m x 1m + space to walk arround. may be 2.5x2.5).
YG: need drawing. need to define how many holes are needed.
WP03
HPM: for waveguides vacuum discussed with ADE. make it simple. copy PSI.
The valve on the C-band does not exist. Windows causes issues. So, go to simple installation without window and without valve.
WP04
LE: sure the drawing are progressing. no recent drawings from SLAC.
JR: how is working on drawings: Florian, if any limit, we can subcontract the drawings to ERIA.
ADE: also NBenoist can help in drawings work
ADE: what space needed for the laser?
FE: not known yet. Need table for optics in the tunnel and cabin for laser outside tunnel.
ADE: in the wall of the linac tunnel there is a water pipe.
BJ: handling equipment. Is there any progress? waiting for drawing of equipment may be. Lifting equipment is not existing at the moment.

working on the definition of work to do.
rough estimate of cost and schedule.
most of the task only during shutdown. need more shutdown. will use many shutdown to finalize works. mainly for the SRE distribution. 2 solutions:
1) create a new SRE distribution from MTB nord (trhough SITU and PINJ) many holes to drill in big walls. November 2028,
2) dedicated production at the PINJ builidng. less reliable for phase 3 (installation for operation). May-June 2028,
Will send to SL next week.
Not possible to use the same water circuit for COLD and present linac.
ADE: From RF and linac point of view, wouldbe perfect to have two separated water distributions.
YGL no need of shutdown to create local production
YG: a lot of modifications to carry out.

ADE: needs:

ADE: solution with separated plant. badget and delay are going to enable phase3 (injetion in the SR).
YG: NO.
YG if new distribution we can use for Phase 3
if local production (option 2) not enough for phase 3, and budget is without phase 3. more expensive and likely more works to foresee for phase 3.
ADE: Why if start from present distribution the delay is longer?
YG it is shorter.

HPM: what does it mean local production?
YG: chiller for example independent. need to install a new one. no redundancy, reliability of chiller. less reliable.
HPM need ph control, reservoir tank.
YG: will see what is needed.
ADE: need to detail. structure will be under LN2. there will be dedicated chillers.
Solution 2 fine for test, not for operation.
A solution 0 without any additional fluid installation.
Cooling is there all the time.
more details will take more time.
SL there is still possibility to be in time by reshuffling the tasks in time. (Ex gun laser in 2027)
JR: SRE cooling is for modulators. planning of modulators i earlier than everything.
initial step, cooling of only 1 modulator. could be to extend and the modulators are going to be off all the rest of the time.
intermediate phase where cooling water only for one modulator.
YG: need table with needs for each Phase (ACTION)
LN2 could be ready for sept oct 2027

BJ: gathering few informations. NEEED drawing to go further inside modulator hall.
handling. make arrangements outside PINJ to manage deliver and handling. need canopy to cover access. to be designed. to be marked somewhere in the planning of tasks.
unpack, slide in, concrete dock could be too small.
YG: canopy is likely too late to use for delivery.
need time to prepare, CFT process, takes time.
BJ: will discuss more with TB

no news. next meeting 11th march.

a few meeting planned. most important with SLAC end of February.
WP09 safety
JR: refurbishment of present linac, ASNR to start modulator 0 tests. meeting next week to udpate from PColomp and PBerkvens.
PB has most info and is working on it.
JR has worries concerning the progress inside PSS.
PSS: identical for the present linac.
can oepate either present linac or COLD.
nitrogen protection and interlock. PC proposes to put inside PSS. JR prefers to have s system as fire allarm, independent.
Laser outisde tunnel, iwll simplify PSS.
Partition door cable but not connected.
No link between machine interlock and COLD.
Who is doing what?
ADE: COD for LLRF will take care of part of this system.
YG: control room in 2029 (may be sooner depends on coactivity) did not immagine we can work during operation. all is planned during shutdowns. to be discussed with linac colleagues.
QQ: 40keuros, small room could be done earlier. proposed by MMorati.
YG: will have to fix priority of what to do. Easier to do other tasks before the CTRM.
ADE: need drawings or we do not know where to put things.
ADE: we can operate COLD when LB1 and LB2 are closed?
JR: during operation you can use COLD. same authorization of present linac. TEST mode (no rips). If entering for COLD, then use tunnel door, do not enter from linac separation door.

GLB no news on magnets.
need fast correctors?
SL: not for COLD. could be for Phase 3 and 6GeV linac.

QQ last friday directors day. 2 h for long term plan.
external group to review long term plan. to be done by may 2026. Final version 12/2026.
ESRF is try to build up groups constitute of chair council SAC, MAC, former directors of labs (fabiola from CERN) high level group to review long term plan 10-15 years.
in the long term strategy the full energy linac will be key parts for accelerator.
COLD will be baseline of this long term plan.
include review report as additional material for long term plan evaluators.
very important. hope report finished before next mac 4th MAY.
1 week will give report of COLD review to feed upcoming MAC. main topi will be review of COLD.
mentioned HR issue. Still a problem. try to understand all division needs. Pending.
need to work more on that.

JR if project is priority, then need resources.
QQ Will ask to push for additional man power for COLD project and train for future. too small group for this project.
ADE: same message coming from other collaborators.
QQ: ESRF has the potential.
YG: will still have bottle neck in safety task during works. if not available will delay the works. Teem is not one man, need competence in fluids, elec, ln2, water. and other projects meanwhile.
